I want to be able to track how much of an employees time we have not been able to bill. Example: we have $2,500 of design time but can only bill $2,200. I can go to the invoice and remove hours and mark them as unbillable, but the odd are that won't be the exact amount.
Any ideas?
You have a few options:
- You can add a discount item to the project/invoice to remove that specific amount. This will also then be tracked to show that you have discounted the project total.
- You can create an invoice where the total is manually entered. To do this, while editing an invoice, select Total From: Entered Amount.
- You can convert all of the work items for the project to non-billable (select them all in the work tab, right-click, and choose Non-billable), and then create a new flat expense item for the amount you will bill
There are probably several other methods available that would accomplish this. Hope this helps!
Actually, no it doesn't help at all. I just want to keep a running total of the hours for each employee that I can not bill. Your suggestions dont come close to that
Alright then, thanks for the response. If you want to track time that you can't bill, track it as Item Mode: Non-billable. Then it won't be billable, and you can later summarize by non-billable items. You can filter the View Time Sheet window by employee and mode to see the non-billable time there as well.
Yes, I thought of that, but to my original point, that won't; always produce the exact amount, because I am reducing the invoice to the amount estimated by making some of the hours unbillable. At that point, I will have to adjust the dollar amount within the billed hours to match the estimated or accepted invoice amount. That adjustment will not be tracked anywhere.
Basically I am looking for a running summary of the total labor amount in dollars for each employee compared to the total dollar amount I was able to actually bill for each employee.
But maybe there isnt a way
I will make that suggestion. But it is still not what I am after. All I want to do is track labor costs that I had to adjust in order to bill the job at the right amount, whether the project is estimated or not. Sally works on a project, her time totals $1500, but I bill $1,000 because I think that is the fair amount and Sally just took too much time. Now, Sally is -$500 in time that was unbilled. etc etc.
Has this been addressed yet? I'm in the same situation and can't figure out how to deal with the amounts over what I can bill.
